Welcome to Meijo Safaris Ltd! These Terms and Conditions outline the agreement between you (the client) and us for your safari adventure. Please read them carefully, as they form the basis of your contract with us.
1. The Booking Contract
Your Booking: All bookings are considered confirmed once you receive a written confirmation from us.
Governing Law: Your booking and our contract are governed by the laws of the United Republic of Tanzania. Any legal matters will be handled by the courts of Arusha, Tanzania.
Our Right to Decline: We reserve the right to accept or decline any booking at our discretion.

2. Deposit & Final Payment
Securing Your Safari: To confirm your booking, a non-refundable deposit of 30% of the total tour cost is required.
Final Balance: We do accept the remaining final balance in Cash and if you are planning to pay by card 14 days before your arrival. We only accept USD from year 2009 and above.
Last-Minute Bookings: For any bookings made within four (4) weeks of departure, the full amount is payable immediately upon confirmation.
Bank Charges: You are responsible for all bank transaction fees. The invoice amount must be received in full into our bank account. If any charges are deducted, we will invoice you for the shortfall.

3. Changes by You (Amendments)
If you wish to change your booking after confirmation (e.g., dates, accommodation, number of people), we will do our best to accommodate you. Changes may incur additional costs depending on availability and the nature of the change

4. Cancellations by You
How to Cancel: All cancellations must be received in writing by our office. The cancellation is effective from the date we receive your written notice.
Cancellation Fees: Due to the costs we incur in planning your safari, the following cancellation fees will apply:
More than 4 weeks before departure: Loss of deposit (30%).
4 – 2 weeks before departure: 50% of total tour cost.
2 – 1 week before departure: 75% of total tour cost.
Less than 1 week before departure: 100% of total tour cost.

5. Cancellations by Us
We reserve the right to cancel a tour in exceptional circumstances beyond our control (e.g., unsafe conditions). In this unlikely event, our liability is limited to a full refund of all monies you have paid to us. We cannot be held responsible for any additional costs you may have incurred (e.g., flights, visas).

6. Your Travel Documents
It is your sole responsibility to ensure you have a valid passport, all required visas, vaccinations, and health certificates for the countries you will visit. We cannot be held liable for any denial of entry, delays, or costs resulting from improper documentation.

7. Baggage
Your Responsibility: All baggage and personal belongings are your responsibility at all times. We are not liable for any loss or damage to your belongings.
Baggage Allowance: For your comfort and safety on our vehicles, you are generally limited to one soft-sided bag or backpack (max 15kg) and a small daypack. Please note that stricter weight limits apply on bush flights and trekking tours. We reserve the right to refuse excess luggage.

8. Assumption of Risk & Liability
Adventurous Nature: By booking an adventurous safari, you acknowledge that these activities involve a higher level of personal risk than conventional holidays.
Limited Liability: To the fullest extent permitted by law, neither Meijo Safaris nor its employees shall be held liable for any injury, loss of life, or damage to property however caused during the tour.
Your Indemnity: You agree to indemnify and hold harmless the Company from any claims arising from your participation in the tour.

9. Authority on Tour
For the safety and enjoyment of all guests, the decisions of our lead guide or tour driver are final on all matters relating to the operation of the safari. You must also comply with all laws and regulations of the countries visited.

10. Marketing
We love sharing the beauty of Tanzania! You agree that any photos or videos taken of you during the tour may be used by us for promotional and marketing purposes (e.g., on our website, social media, brochures). Let us know if your safari is private so we wont use any of your images.

11. Force Majeure (Events Beyond Our Control)
We cannot be held liable for any failure or delay in performing our obligations due to events beyond our reasonable control. This includes, but is not limited to, war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, or park closures.

12. Price Changes
Our prices are based on current park fees, taxes, and fuel costs. We absorb minor cost fluctuations, but we reserve the right to adjust our prices if there are significant, unforeseen increases in these fees imposed by government authorities, even after you have booked.

13. Airline Services Disclaimer
Meijo Safaris facilitates bookings for domestic flights with partner airlines on your behalf. As these services are operated entirely by third-party carriers, we cannot be held responsible for any changes, delays, cancellations, or other disruptions. The contract for your air travel is between you and the airline. We will assist you in communicating with the carrier, but all terms, conditions, and liabilities are governed by the airline’s own policies.

14. Resolving Issues During Your Trip
We are committed to ensuring you have a smooth and enjoyable safari. If a problem occurs during your trip, please bring it to the immediate attention of your guide or our local office. This gives us the opportunity to address and resolve the matter promptly.
We find that most issues can be fixed quickly and satisfactorily when we are made aware of them on the spot. However, we are unable to address complaints about problems that were not brought to our attention during the tour, as this prevents us from having the chance to find a solution.
If you need to file a formal complaint after your trip, please provide it in writing. To help us investigate thoroughly with our suppliers, please include any relevant evidence, such as photographs and details of any concessions you may have received from a supplier at the time. This information is essential for us to fairly assess any claim for a refund or compensation.

15. Travel Insurance
To protect your investment and well-being, comprehensive travel insurance is mandatory for all clients. Your policy must include coverage for:

Emergency Medical & Evacuation: High-limit coverage for medical expenses and emergency evacuation from remote areas.
Trip Cancellation & Interruption: Reimbursement for non-refundable costs if you must cancel or cut your trip short for a covered reason.
Loss or Damage: Protection for personal belongings, luggage, and safari equipment.
Proof of insurance may be requested prior to tour departure.
By booking with Meijo Safaris, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
